Foreign delegation calculator: How does it work step by step?
You don't need an instruction manual as thick as an encyclopedia. We have created a flow that takes you by the hand. See how easy it is:
- Step 1: Enter your departure dates.Select in the calendar the exact date and time of crossing the Polish border on the way "there" and the date and time of crossing the border on the way "back". This is crucial because on this basis the machine calculates the duration of the trip (and whether you are on a full diet, half or 1/3 of it).
- Step 2: Set rates and currencies.Enter the daily rate applicable for a given country (e.g. EUR 49 for Germany), currency symbol and conversion rate to PLN. Remember to check the rate for the appropriate business day!
- Step 3: Subtract free food.Did you have breakfast at the hotel? Or maybe the contractor bought dinner? Mark it. The tool will automatically cut the appropriate percentage from your diet (standard: 15% for breakfast, 30% for lunch, 30% for dinner).
- Step 4: Add transportation and hotels. If you used the subway, select the local commute option. Add airport transfers. Enter the accommodation costs from your invoices or choose a safe accommodation lump sum.
- Step 5: Click and you're done. You pressCalculate delegationand a beautiful, transparent result immediately appears under the form. No page refresh, no waiting. You can then go ahead and generate the appropriate documents for accounting.
Key features that will finally make your work easier
When creating this tool, we rejected complicated and ugly interfaces. We focused on pure usability. Here's what exactly you get when you use our interface.
Accurate meal deductions
This is probably the most frustrating part of any trip. If breakfast is included in the hotel price, you are not entitled to a full allowance. All you need to do is enter the number of meals in the form. You can also adjust your withholding percentages with the built-in
Accommodation Management: Invoices vs. Lump Sum
You slept in a hotel and have an invoice? Great, enter your total bill amount. You can turn on the switch that limits your refund to the statutory overnight limit for your country. If your bill exceeds the limit, the system will intelligently "cut" the excess and notify you in the warning section. What if you slept over with friends or you just don't have a bill? Select the accommodation flat rate and the system will automatically add 25% of the rate to your balance for each night spent.
Commuting and transfers without headaches
Getting around a foreign city costs money. In our panel, one click is enough to add a lump sum for local commuting (usually 10% of the allowance) for each commenced day of travel. Did you take a taxi from the airport to the hotel? Enter the number of transfers in the dedicated field and the application will calculate the appropriate amount. You don't have to look for paper tickets in your jacket pockets.
Unique Option: Comparison variant
Sometimes internal company rules differ from statutory ones. It may happen that the employer guarantees a different base rate than provided for in the regulation, or you want to settle the trip at a different exchange rate. By selectingInclude second variant in comparison, you will create an alternative simulation in the same window. You will see the exact difference in dollars between both versions. This is a brilliant way to negotiate or audit the correctness of settlements!
Practical examples: What does it look like in real life?
Theory is theory, but let's see how the foreign delegation calculator deals with real problems. We have prepared three life scenarios.
Scenario 1: Marek at the e-commerce fair in Berlin
You run your own online store and you went to the fair in Germany. The trip started on Monday at 6:00 a.m. and ended on Tuesday at 10:00 p.m. That's 40 hours. The system will detect this automatically and allocate one full allowance plus a half allowance for the second, partial day. You slept in a hotel with breakfast included (1 meal included). You want to know exactly how much you can enter in the KPiR. You enter the rate for Germany (e.g. EUR 49), the NBP exchange rate and after 3 seconds you know that you are entitled to a specific amount to be refunded, without wasting time on studying the regulations.
Scenario 2: Ania, programmer at a conference in the USA
You are flying to a huge technology conference in San Francisco. You spend a total of 6 days traveling. The organizer provided lunches at the event (3 lunches), but you bought breakfasts and dinners yourself. You also took Uber to and from the airport twice. You enter these parameters into the form, select the transfer option (entering their number: 2), and provide the costs of accommodation with Airbnb. Finally, you pressCopy the result. Paste the neatly formatted text into your company email and you're done with the topic.
Scenario 3: Tomasz, accountant settling the sales department
Your job is to deal with the chaos created by salespeople. They bring crumpled receipts and strangely filled delegation forms. Instead of getting upset and manually converting fractions of allowances (e.g. when someone returns to the country after 7 hours, which means only 1/3 of the allowance), you simply "enter" their reported times into our system. You receive ready-made
Comparison with alternatives: Why quit Excel?
You're probably wondering: "I have a spreadsheet from my boss, why do I need a new tool?" The thing about Excel spreadsheets is that it's easy to mess something up. Someone accidentally deletes one formula and the entire calculation is incorrect. Spreadsheets are often not updated on an ongoing basis and are rarely able to detect logical errors in the entered data.
Our solution is in a completely different league. First of all: there isinstant. The interface responds immediately, and entering data using the numeric keyboard is pure pleasure. Second:works 100% securely in your browser. Data about your trip, hotels and meals are absolutely not sent to any external server. We give you complete privacy. Third: no barriers. We do not force you to create an account, we do not ask for e-mail, we do not block options behind a paywall. The tool is available for free and always in Polish. This is how we build authority and trust.
Expert tips and tricks
If you want to get the most out of your business trip, you need to know some details. See what we pay attention to when optimizing costs:
- Border crossing times are of great importance:Many people enter approximate hours. Meanwhile, a difference of 15 minutes (e.g. 7:45 vs. 8:00) on the return may result in exceeding the threshold of 8 or 12 hours for the last day of the trip. And this directly affects whether you receive 1/3, 1/2 or the full base rate! Always enter precise times.
- Rounding Option:Accounting often prefers hard rounding to whole cents to make posting to accounts easier. Use the built-in switchRound to centsso that the result matches the financial program to the letter.
- Do not duplicate accommodations:Our system has built-in quality flags. If you select billed accommodation and accommodation lump sum for the same night, the system will issue a yellow alert. Listen to these tips!
- Play with rates:Remember that for correct settlement you must use the average NBP exchange rate from the last business day preceding the day of departure. Similarly to the calculation of statutory interest, the precision of the date is the basis for avoiding problems with the Tax Office.

Foreign allowance rates - the most popular destinations
The allowance amount depends on the destination country and results from the regulation of the Minister of Family and Social Policy (rates valid from November 29, 2022). Examples of allowances per day of travel:
| Country | Per diem allowance | Overnight allowance |
|---|---|---|
| Germany | EUR 49 | EUR 170 |
| France | EUR 55 | EUR 200 |
| United Kingdom | GBP 45 | GBP 220 |
| Netherlands | EUR 50 | EUR 150 |
| Belgium | EUR 55 | EUR 200 |
| Italy | EUR 53 | EUR 192 |
| Spain | EUR 50 | EUR 200 |
| Czech Republic | EUR 41 | EUR 120 |
| Austria | EUR 57 | EUR 180 |
| Switzerland | CHF 88 | CHF 220 |
| USA | USD 59 | USD 200 (New York: USD 350) |
| Norway | NOK 496 | NOK 1,650 |
Rates may be updated - please check the current version of the regulation before settling. A private employer may set its own rates, but not lower than the national allowance.
Foreign allowance for a partial day and meals
Unlike in the case of a domestic delegation:up to 8 hoursis entitled to 1/3 of the allowance,8-12 hours- 1/2 of the allowance, over 12 hours- full diet. The meals provided reduce the diet by: breakfast -15%, lunch -30%, dinner -30%. The time of travel abroad is counted from crossing the border (plane: take-off/landing, ship: departure/entry to the port). The calculator settles these rules automatically together with the commuting lump sum (10% of the allowance per day).
