How to calculate the cost of a meeting?
The calculator uses a simple formula: Cost = (Σ participants' hourly rates) × duration (hours). Hourly rate = monthly salary × 1.3 (employer's Social Insurance Institution) / 168 (working hours per month). Example: 5 participants with a salary of PLN 8,000/month. + 2 people with PLN 15,000/month. Hourly rates: 5 × PLN 62 + 2 × PLN 116 = 310 + 232 = PLN 542/hour. Meeting 2 hours = PLN 1,084 cost for the company. Monthly with 4 such meetings = PLN 4,336.
Types of meeting costs
Direct cost- participants' remuneration for the time spent at the meeting (calculated by the calculator).Opportunity cost- what could this time do? If a senior developer doesn't work on the code for 2 hours, the company loses the value of his work.Disruption cost- the meeting is interrupted by deep work. Research shows that it takes 23 minutes to regain full focus after an interruption.Indirect costs- fatigue, demotivation, administrative overhead (invitations, notes, follow-up).
How to organize effective meetings?
Rules for effective meetings: always have an agenda (no agenda - no meeting), invite only the necessary people (2-pizza team rule - if two pizzas do not feed all participants, there are too many people), set a time and keep it (timer), end action items with a responsible person and a deadline, consider whether the meeting can be an e-mail (if it does not require discussion - YES). Weekly meeting of the entire team for a year: 540 × 52 = PLN 28,080. For a company with several such meetings, the annual meeting costs easily exceed PLN 100,000.
