Regardless of whether you are a parent writing an excuse for your child's absence from school, a student making an excuse during a physical education class, or an employee forced to explain being late at work - the appropriate written form is crucial. A justification is a formal document that should be formulated concisely, politely and in accordance with the rules of official correspondence. Many people have difficulty writing such a letter correctly, wondering what polite phrases to use and how to describe the reason for the absence without going into too intimate details.
Our online excuse generator is a simple tool that solves this problem. We offer ready-made, professional letter templates for various life situations (absence from school due to illness, doctor's visit, family matters or travel). Just fill in the basic data, such as the name and surname of the student/employee, class/department, date of absence and reason, and the system will automatically generate an aesthetic document ready to print, download or copy and send by e-mail or via e-journal (Librus/Vulcan).
Differences between school and work excuses
The form and legal basis for justifying absences depend on the status of the absent person. The table below shows a comparison of school and employee procedures:
| Document feature | School excuse (for a child/student) | Employee excuse (for an employee) | Comments and legal basis |
|---|---|---|---|
| Who prepares and signs | Parent or legal guardian (when the student is minor) or the adult student himself. | Employee in person (often supported by a document from a doctor - ZLA). | At school, a parent's statement is sufficient; sick leave is usually required at work. |
| Person receiving | Class teacher (via e-journal or paper). | Human Resources Department, department manager or direct supervisor. | The employer must be notified of the absence no later than the 2nd day of its duration. |
| Deadline for delivery of | Typically specified in the school statute (e.g. within 7 or 14 days of returning to school). | Immediately; in the case of e-ZLA, the doctor sends it automatically to ZUS and the employer. | Missing a school deadline will result in unexcused hours; at work – disciplinary dismissal. |
| Level of detail required | Low – just give a general reason (e.g. cold, family matters). | Very low – the employer has no right to ask for an exact medical diagnosis. | Legally protected medical data (GDPR) should not be included in letters. |
Elements necessary for a correct excuse
Each letter justifying absence should contain a fixed set of information to maintain formal values and facilitate verification:
- Place and date of preparation:Traditionally placed in the upper right corner of the document.
- Sender's details:Name, surname, address or contact number of the parent (in school letters) or employee details (in employee letters).
- Addressee's details:Official salutation and position (at school: "Dear Teacher/Mr. Educator"; at work: "Dear Director/HR Department").
- Main content:A clear request to justify the absence, indicating the exact period (days or hours) and the general reason.
- Handwritten signature:If the document is delivered in paper form, a handwritten signature is obligatory. In e-journals, authorization with the parent's account replaces the signature.
